The Challenge

Pemberton’s previous London headquarters utilised a variety of non-standardised video conferencing technologies, leading to compatibility issues and a reliance on the internal IT team for meeting support. Pemberton were looking to standardise, simplify and enhance the video conferencing experience for their staff, removing the mismatch of technology causing disruption to their meeting spaces.

The company’s growth necessitated a relocation within London Victoria to a more fitting office space. A primary goal for the office meeting spaces was to establish a streamlined and efficient video conferencing system in the new headquarters, aimed at enhancing staff productivity and collaboration while reducing reliance on the IT team. Pemberton sought a smooth transition to the new office that would minimise disruption for their employees.

Pemberton had a tight build program that gave us a week to deinstall some existing equipment and reinstall across London to their new office. We were able to work with the principle contractors to first fix cables while they were refurbishing the site. When the site was in a clear, dust-free state, we were able to quickly deploy and commission meeting room equipment. Pemberton wanted to close one office on the Friday and open the new office on Monday with no impact on a user’s working day.” 

The Solution

To minimise the impact on their business, ClearVC introduced a brand-new solution utilising state-of-the-art Yealink technology and standardised Microsoft Teams Rooms. This solution was user-friendly, seamless, and requires a light approach from IT support to function. ClearVC also provided multiple connectivity options for each room and offered a one-touch system to join a meeting. The Yealink MVC860 was installed in the medium to large office spaces, along with wireless microphones and a commercial LG screen. This package included a UVC86 dual-eye 4K PTZ camera, an MCore Pro Mini PC, an Mspeaker2, and a WPP30 Wireless Presentation Dongle.

During the integration, ClearVC implemented an adaptable solution for one of Pemberton’s larger meeting spaces called the “Hub.” The “Hub” is designed to host and facilitate more diverse meetings, all-hands meetings, and teaching sessions. To meet the requirements of the room, a Yealink MVC960 dual-camera system was implemented, with cameras able to capture the audience from the front and the presenter from the rear of the room. A Yamaha Adecia wireless microphone system with eight omnidirectional microphones was installed to accommodate group work and activities across a hybrid training and presentation environment. Additional Shure handheld and lapel microphones offered a choice of presenter microphones dependant on situation or preference. A pair of Bose Panaray M12 column speakers were utilised for Microsoft Teams calls and presentation playback. Hidden within the meshed ceiling, a series of six TOA PE-604 pendant speakers was used to evenly distribute the presenter’s voice.

Additionally, ClearVC integrated a GoBright office booking solution within the workplace. GoBright allows Pemberton staff to see if a room is in use or to book meeting rooms in advance. Touchscreen panels mounted on the wall outside each meeting room allow users to book ad-hoc meetings with NFC enabled office passes and display the room’s status, with LED lights glowing red when the room is in use and green when it is available. This ultimately provided a cohesive and user-friendly experience for their staff members.

The Result

Upon successfully moving to the new office headquarters in 2023, ClearVC provided training on how to use the new video conferencing system to empower the Pemberton staff and ensure they were comfortable using the new technology.

The integration of Microsoft Teams Rooms was a great success, delivered on time and within budget. The staff at Pemberton have seen benefits such as improved connectivity with their international branches, clients, and other UK branches.
