Terms and Conditions for ClearVC Exclusive Offer: Free Microsoft Teams Room Hardware for Blue Chip Businesses 

1. Offer Eligibility 1.1. This exclusive offer (“Offer”) is available only to qualifying blue-chip businesses, as determined solely by ClearVC. 1.2. To qualify, businesses must purchase both the installation and ongoing service packages associated with ClearVC’s Microsoft Teams Room (MTR) solution. 1.3. The Offer applies only to soundbar-based Microsoft Teams Room configurations. Other hardware configurations are not eligible under this Offer.
2. Offer Details 2.1. Eligible businesses will receive one (1) Microsoft Teams Room soundbar-based hardware package free of charge for use in a single meeting room. 2.2. Customers are required to pay for professional installation and ongoing service to activate this Offer. 2.3. This Offer is limited to a single soundbar-based MTR setup per eligible customer, solely for the first meeting room booked under this campaign.
3. Installation and Service Fees 3.1. Installation Fee: A one-time installation fee of £1,200 (GBP) will be charged for setup, configuration, and testing of the MTR hardware by ClearVC’s in-house engineering team. 3.2. Service Fee: An ongoing service fee, starting from £295 (GBP) per year, covers maintenance, technical support, and performance optimisation. 3.3. All fees must be paid in full before or on the date of installation to qualify for the free hardware Offer.
4. Limitations and Exclusions 4.1. This Offer is specific to a single soundbar-based MTR hardware package and does not cover additional equipment or meeting rooms. 4.2. The Offer is non-transferable, non-combinable with other promotions, and limited to blue-chip businesses as defined by ClearVC. 4.3. Additional modifications or relocations of the system post-installation will incur additional charges and are subject to a new agreement.
5. Customer Responsibilities 5.1. Customers must ensure that the meeting room meets the necessary requirements for soundbar installation, including suitable connectivity, power sources, and secure wall or table mounting as appropriate. 5.2. ClearVC requires site access on the scheduled installation date, and any delays may result in rescheduling fees. 5.3. Customers must disclose any site-specific conditions that could impact the installation or operation of the MTR hardware prior to scheduling.
6. Cancellation and Modifications 6.1. ClearVC reserves the right to modify or terminate this Offer at any time without prior notice. 6.2. Cancellations by the customer are subject to ClearVC’s cancellation policy, which may include additional fees based on timing and incurred costs.
7. Liability and Indemnity 7.1. ClearVC is not responsible for indirect, incidental, or consequential damages arising from the use of the MTR hardware. 7.2. Customers agree to indemnify ClearVC against any claims, damages, or losses resulting from misuse or unauthorised modifications of the provided hardware.
8. Governing Law and Jurisdiction 8.1. These Terms and Conditions are governed by the laws of England and Wales. 8.2. Any disputes shall be resolved exclusively in the courts of England and Wales.
9. Acceptance of Terms By proceeding with this Offer, customers confirm they have read, understood, and accepted these Terms and Conditions, including all associated fees, in full.
